OUTGOING STUDENTS

 


You have been selected for KA 107 Study Mobility, what to do next?

  1. During all your mobility processes, be in touch with your Departmental Erasmus+ Coordinator as well as the EU Office. All outgoing students will conduct their processes through the EU Office at Beytepe Campus. 
  2. During your mobility process, all official correspondence will be done via your Hacettepe e-mail address. Please check whether or not you have received the nomination e-mail by the host institution.  
  3. Please carefully examine the website of the host institution you will be going to, and read the information package. Also carefully examine the deadline for application for Erasmus+ students, course offerings, academic calendars and (if available) the forms you will need to fill out.
  4. If applicable, fill out the application and lodging forms of the receiving university and send it via the way requested (e.g. via e-mail, by post or fax).
  5. After receiving your "Acceptance Letter" (in which the dates of your stay at the host institution is supposed to be indicated), please submit a copy of this letter to the EU Office in order to be able to get your "Confirmation Sheet" that you will need for your visa application.
  6. Fill out the "Learning Agreement Before Mobility" with your departmental Erasmus+ coordinator. Each document needs to be signed first by you and then your departmental Erasmus+ coordinator. Afterwards, you will need to submit your documents to the EU Office to be sealed and signed by the Institutional Coordinator. All the documents will be given to the students the next day. After receiving the signed and sealed documents, you will need to send your documents to the host instutiton for their approval. While sending your documents, please use the method indicated by the host institution (e.g. e-mail, fax, mail). Following this approval, it is enough for the host institution to e-mail the signed and sealed documents to Hacettepe University EU Office.
  7. If do not have a passport, apply for a new one. If you already have a passport, please check if it is valid through your mobility. Check for the required minimum legal validity time, you may need to extend the validity of your passport. It is possible to obtain a passport without paying a fee until the age of 25, (please contact your department for details of this process).
  8. Visa processes may vary from country to country. For visa application documents, please contact or check out the web site of the related embassy, and start preparing the required documents.
  9. Open a EURO account and bring the copy of your Bank Account Book to the EU Office. 
  10. Leave a warrant to a relative for issues that may arise when you are at broad (such as registration or bank account transactions). 
  11. Follow the "Orientation Week" to be announced by the EU Office.
  12. After receiving your visa, please come to the EU Office for the final checks and to get your mobility contract signed. 
  13. You will need to make the changes related to the courses that you will be taking in the host institution within a month. In accordance with these changes, make sure that you contact your department Erasmus+ coordinator at Hacettepe University, and fill out the "Learning Agreement During Mobility" form. This form must be signed and approved by the host institution. Following approval, please scan and e-mail the document to the EU Office.
